Data & Security
I want you to understand what records I need, why I need them, and how we agree on access before work begins.
Before we access non-public business data
Blue Star Marketing Firm confirms fit and uses a signed scope for the audit or pilot before receiving non-public operating records. The scope defines what evidence is needed, who can authorize access, and how the audit starts.
Use the easiest approved access path
- Client-provided exports when they are easy to produce.
- Least-privilege read-only or delegated access when that reduces client work.
- Guided screen share when an export or delegated account is impractical.
Blue Star Marketing Firm does not ask clients to send account passwords through email, chat, spreadsheets, or ordinary intake notes.
Minimum data, not maximum access
We request the minimum operational evidence needed for the accepted audit scope. Properly de-identified information is preferred when it can support the audit without identifiable health information.
HIPAA and PHI
If an engagement requires Blue Star Marketing Firm to create, receive, maintain, or transmit PHI or ePHI on behalf of a HIPAA-covered clinic or business associate, the required written terms, including a Business Associate Agreement where applicable, must be in place before that processing begins. A general privacy page does not replace those client-specific terms.
How AI is used
AI-assisted tools may help inventory files, propose field mappings, normalize non-clinical operational records, detect anomalies, and draft audit summaries. AI output is not automatically treated as verified evidence. Material financial mappings and audit conclusions receive human review before they are presented as final.
Blue Star Marketing Firm does not use AI to make clinical decisions.
Client ownership and purpose limitation
The client retains ownership of its data. Blue Star Marketing Firm uses client data only for the accepted scope and does not turn private client records into public marketing, testimonials, case studies, or public proof without separate written permission.
Revocation, retention, and deletion
Delegated access can be revoked by the client. The signed agreement defines the retention, return, and deletion rules for the actual engagement and systems. Revoking access may make part of the audit blocked; Blue Star Marketing Firm documents the block instead of inventing a conclusion.
Day 0 starts after evidence acceptance
Signing or uploading a file does not automatically start the audit clock. Blue Star Marketing Firm checks a sample of the agreed evidence first. Day 0 begins only after the agreed evidence Safety Check passes.
